"E-Mail Filters: How They Can Make Your Life Easier", by Ann Clubb, IVAA CVA

Many people wish they could figure out a way to sort and catagorize their emails so as to make their life easier. Eudora makes this so easy, it is almost a no brainer.

First, if you get a lot of emails, you know how hard it is to keep them separated and in some kind of order. You probably have already created different mailboxes in order to try to create order out of what normally is chaos in your inbox. Eudora has simplified the art of creating filters. When you receive an email that you want to sort according to either subject matter, sender, or other criteria, Eudora will allow you to create a filter on the fly, so to speak.

Let's say that you get the following email:

X-Sender: ann@silentpartners-va.com@mail5.burlee.com
X-Mailer: QUALCOMM Windows Eudora Version 5.1
Date: Fri, 08 Mar 2002 15:18:32 -0600
To: Eudora@silentpartners-va.com
From: Ann Clubb <ann@silentpartners-va.com>
Subject:
X-RCPT-TO: <Eudora@silentpartners-va.com>

How do you create a filter to sort messages by sender?

You will notice that the headers contain all the information required to set up a filter for this message. I want to filter all incoming emails from the sender "eudora@silentpartners-va.com" into a mailbox entitled "Eudora SPVA". I can do this in two different ways. When the email comes into my Inbox, while the message is highlighted, I can click on the menu item "Special", and choose "Make Filter". Some of the header information is already filled in, as shown in the picture below:

If you wanted messages filtered by the sender, you would leave this information as it is and the messages would be filtered on the "From" field. However, I am going to change the way this filter works so that it will filter this message based on the "To" field in the original email. So, I will choose "Any recipient" instead of "From". I am also going to check "Transfer to Existing Mailbox" since I already have set up a mailbox for these messages to go in, and uncheck "Manual" because I want the filter to work automatically on all incoming messages that match these conditions. The results are shown in the picture below:

Now, I have a filter that will automatically move any incoming messages that were sent to the email address of "eudora@silentparnters-va.com" to a mailbox that I have set up called "Eudora SPVA".

The second way of setting up a filter is to start from scratch, without a highlighted message to pre-fill any of the header information. Go to "Tools, Filters" and you will get the main screen to manage all of your filters. From this screen you choose "New" and fill in any information that you want in order to get the desired result. The filter that was set up in the above example would look like this:

As you can see, there are many conditions you can choose in order to set the rules for your filters. You might need to do some experimenting in order to get it fine tuned just the way you want it. You can choose as many or as few of the items as you want to get the desired results. For most people, using the "Make Filter" on a highlighted message will probably be all that is needed. Or, filters can be as complicated as assigning specific personalities to incoming or outgoing messages, assigning a particular color label to certain messages, or even "speak" to you when certain messages are received. In this option, which can be found in the pull down menus under "Action", a voice can read the name of the sender and the subject line of the message. That may be more than most people want, but could be useful under specific conditions.

So, there is your introduction to filters. Play around with the features and see what works best for you.
